The Purpose of the Role  

As an Administrative Assistant, you will provide administrative support in key areas throughout the manufacturing process. Your goal is to adhere to standard operating procedures with a focus on safety, quality, people, and customer. Your success will contribute to the facilities throughput while simultaneously developing your own skills in a coveted and highly technical industry. 

Person Specification 

  • Highly proficient in Microsoft applications in particular Advanced Excel. Ability to gather data, effectively compile, analyse & report out through pivot-tables, graphs, v-look up, etc.
  • System and project management skills: Comfortable with navigating variety of internal and external systems and applications. Effectively manage project deliverables to timelines
  • Excellent communication – written and verbal: Ability to communicate and collaborate effectively with multiple suppliers, factory customers, and stakeholders with high level of professionalism

Work Schedule 

39-hour regular working week (Monday to Friday) 

Principal Duties and Responsibilities

  • Actively support the onboarding process.
  • Track supplier required training to closure. Field incoming onboarding and badging escalations related to badge issues, WIFI access, troubleshooting onboarding issues, communicating proper process for onboarding including Fab access.
  • Supplier office and equipment requirements: Manage ordering of phones and laptops where applicable, managing office space and locker allocations, liaising with site services and IT on office and equipment requirements.
  • Issue shopping carts for purchase order creation, track and reconcile service purchase orders to ensure they are being invoiced correctly and on time.
  • Analyse tool install schedule to forecast upcoming resources and PO requirements for tool installation, conversions and de-install.
  • Compile and report out on critical SSP data analysis and KPI’s e.g. Safety, Escalations, Headcount tracking, etc.
  • Manage Supplier FAQ site and external and internal SharePoint. Maintain Fieldglass and Highwire scope of work management and delegation, and other third party required site applications.

Role Requirements 

  • Additional technical data analytics skills such as creating Power BI reports and/or other similar types of data analytics tools. Ability to crunch data and use other data analytical skills to create automated reports and system solutions to drive efficiencies.
  • Exhibits skills capable of driving value and improvements in the supply chain areas of cost, quality, availability, and technology
  • Diploma in Supply Chain Management, Business or related discipline
  • 3+ years of work experience in a Supply Chain, Engineering or Business Administration support role.
