We’re Hiring an Administrative Assistant

Westerwood Global provides service solutions ranging from entry–level to experienced personnel, within high tech manufacturing facilities. We are a trusted partner for the world’s leading semiconductor companies and are looking for a Administrative Assistant to join on our team on our Customer's site in Leixlip, Co. Kildare. This is a temporary full time position, that requires working Monday-Friday (8am - 4:30pm).

Purpose of the role

As an Administrative Assistant, you will provide administrative support for the Customer in key areas throughout the manufacturing process. Your goal will be to adhere to facility standard operating procedures with a focus on safety and quality. Your success will contribute to the facilities overall throughput while simultaneously developing your own skills in a coveted and highly technical industry.

Requirements

  • Experience with Microsoft Office, in particular Outlook, Excel and PowerPoint
  • 2-3 years' experience in a similar administrative role

What you will be doing

  • Maintain training records
  • Actively participate in supporting the induction process, Safety and other trainings as required by the department
  • Support class owners with class content
  • Maintain up to date ‘class instructor list – and validate all instructors have confirmed roles/responsibilities
  • Train instructors in how to grant class credits
  • Support instructors with ad-hoc classes if required
  • Book classrooms and ensure they’re properly set up
  • Support and manage class logistics e.g. Room access issue, Escalate any issues with projectors etc.
  • Maintain stats on instructors, attendance etc.
  • Support training lab room set-up, access etc.
  • Review & respond to requests for training classes
  • Weekly training report generation
  • Trouble-shooting problems on an ongoing basis
  • Prep material required
  • Prepare and disseminate material (e.g. instructional notes, feedback forms)
  • New employee site on-boarding and induction
  • New employee setup through client software and portal
  • Assist with departmental IT and other application access
  • Coordinating all employee communications
  • Support of logistics for new hires (EHS Equipment)

Desired but not Essential

  • Experience working on SharePoint and My Learning
